When your event reaches maximum capacity, FairUp's waitlist feature lets you capture interested attendees without overbooking.
Enabling capacity limits
- Go to your event's Registration settings
- Set Maximum Capacity to the number of attendees you can accommodate
- Enable Waitlist to allow sign-ups after capacity is reached
How the waitlist works
When capacity is reached:
- New registrations see a "Join Waitlist" option
- They enter their information
- They receive a waitlist confirmation email
- If a spot opens, they're automatically moved to registered
- They receive a registration confirmation
Managing the waitlist
From your guest list, you can view all waitlisted attendees, see their position, manually promote someone, or remove them.
Automatic promotion
When a registered attendee cancels, FairUp automatically promotes the first person on the waitlist and sends them an email confirmation.

- Auto-promote β automatically promote when spots open (recommended)
- Manual review β review each waitlist promotion manually
- Waitlist limit β cap how many can join the waitlist
