Waitlist & Capacity

When your event reaches maximum capacity, FairUp's waitlist feature lets you capture interested attendees without overbooking.

Enabling capacity limits

1. Go to your event's Registration settings
2. Set Maximum Capacity to the number of attendees you can accommodate
3. Enable Waitlist to allow sign-ups after capacity is reached

How the waitlist works

When capacity is reached:

1. New registrations see a "Join Waitlist" option
2. They enter their information
3. They receive a waitlist confirmation email
4. If a spot opens, they're automatically moved to registered
5. They receive a registration confirmation

Managing the waitlist

From your guest list, you can view all waitlisted attendees, see their position, manually promote someone, or remove them.

Automatic promotion

When a registered attendee cancels, FairUp automatically promotes the first person on the waitlist and sends them an email confirmation.

• Auto-promote — automatically promote when spots open (recommended)
• Manual review — review each waitlist promotion manually
• Waitlist limit — cap how many can join the waitlist

💡 Tip: Set expectations early. Tell waitlisted attendees the likelihood of getting a spot based on past events.
